Terms of Service

Last updated: 3 October 2026

These Terms of Service ("Terms") govern your access to and use of Scanissimo, a receipt management service for individuals, businesses and their accountants. By creating an account or using the service, you agree to these Terms.

1. Who we are

Scanissimo is operated by Swiftimise Ltd, a company incorporated in the United Kingdom ("we", "us", "our"), which runs the website www.scanissimo.com, the Scanissimo phone apps and the Scanissimo WhatsApp service. Our contact details are at the end of these Terms.

2. The service

Scanissimo lets you collect and organise your receipts. Its features include:

  • Sending receipts through WhatsApp, or uploading them on the web or in the app
  • Automatic extraction of receipt details (merchant, date, amounts, taxes, category) using AI-powered OCR
  • Statements in PDF, CSV and Excel formats, which you can email to yourself or your accountant
  • Shareable links to selected receipts
  • Access for your accountant, and receipt validation for managers in organisations

Features and monthly receipt allowances depend on your plan and may change over time.

3. Eligibility & accounts

You must be at least 18 years old to use Scanissimo. You agree to:

  • Provide accurate account information and keep it up to date
  • Keep your login details confidential, and be responsible for activity on your account
  • Tell us promptly if you suspect unauthorised access to your account
  • Not share an account between several people where each person needs their own seat

4. Organisations, staff and accountants

An organisation that adds its staff to Scanissimo is responsible for its own decisions about expenses, reimbursements and compliance with employment, tax and data-protection law. Organisation admins and managers can see and validate their team's receipts.

When you give an accountant access, they can see your receipts and add receipts on your behalf until you remove their access. You are responsible for choosing whom you give access to.

For receipts and personal data that an organisation or accountant manages through Scanissimo, that organisation or accountant is the data controller and we act as their data processor.

5. Subscriptions, fees & billing

  • Paid plans are billed monthly or yearly. Enterprise plans are billed per member of the organisation, and the number of seats follows the number of active members.
  • On the web, payments are processed by Stripe. In the phone apps, subscriptions are bought and billed through the Apple App Store or Google Play, under their terms. We never see or store your full card details.
  • Each plan includes a monthly receipt allowance. Once it is reached, new receipts can't be added until the next calendar month or until you move to a bigger plan.
  • Free trials and complimentary offers end on the date shown in your account. They don't turn into a paid subscription unless you choose a plan.
  • Fees are stated exclusive of VAT unless otherwise noted; VAT is added where applicable.
  • Fees already paid are non-refundable, except where required by law. App Store and Google Play purchases follow Apple's and Google's refund policies.
  • You can cancel at any time. Cancellation takes effect at the end of the current billing period, and you keep access until then.
  • We may change our prices with reasonable notice. Changes apply from your next billing period.

6. Acceptable use

You must not:

  • Use the service unlawfully, including to commit fraud or in breach of tax or data-protection law
  • Upload forged or altered receipts, or content you don't have the right to share
  • Try to access accounts or systems you are not authorised to access
  • Probe, scan or test the vulnerability of the platform, or get around its security
  • Interfere with the service or introduce malware
  • Scrape, resell or reverse-engineer the service, except where the law prohibits this restriction
  • Use the WhatsApp service to send spam or to harass anyone

We may suspend access where needed to protect the platform or its users, or to comply with the law.

7. Your content and data

Your receipts and the data extracted from them ("Your Data") remain yours. You grant us the licence we need to host, process and display Your Data in order to provide the service, and to produce anonymised, aggregated statistics.

Anyone who has a shareable link can view the receipts it contains until the link expires (30 days). Keep these links confidential.

You are responsible for Your Data being accurate and lawful. How we handle personal data is explained in our Privacy Policy.

8. Intellectual property

The platform, including its software, design and branding, is owned by Scanissimo and its licensors and is protected by intellectual-property laws. We give you a limited, non-exclusive, non-transferable and revocable right to use the service in line with these Terms.

9. Third-party services

Scanissimo relies on third-party services, including Meta's WhatsApp Business Platform, Stripe, the Apple App Store and Google Play, Google sign-in, Amazon Web Services, and AI providers that read receipts. Your use of these may also be subject to their own terms. We are not responsible for third-party services we don't control.

10. Availability & support

We work to keep Scanissimo available and reliable, but we don't guarantee it will be uninterrupted or error-free. We may carry out maintenance, and may change or discontinue features. For support, contact info@scanissimo.com.

11. Disclaimers

The service is provided "as is" and "as available". To the extent the law allows, we disclaim all warranties that aren't expressly stated in these Terms, including warranties of merchantability and fitness for a particular purpose.

Details extracted automatically from receipts can contain mistakes: check them before relying on them, for example in a tax return or expense claim. Scanissimo helps you keep track of receipts; it does not provide accounting, tax or legal advice.

12. Limitation of liability

Nothing in these Terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.

Otherwise, we are not liable for indirect or consequential loss, or for loss of profits, revenue, goodwill or data. Our total liability in any 12-month period is limited to the fees you paid us in that period.

13. Indemnity

If you use Scanissimo for business, you agree to indemnify us against claims and costs arising from your use of the service in breach of these Terms or the law, including claims by your staff or clients relating to data you provided.

14. Suspension & termination

You can cancel your subscription at any time and ask us to close your account. We may suspend or close your account if you breach these Terms, don't pay what you owe, or where needed to protect the platform or comply with the law.

When your account is closed, your right to use the service ends. We keep and delete Your Data in line with our Privacy Policy. You can download your receipts and statements before closing your account.

15. Changes to these Terms

We may update these Terms. The date at the top shows the latest version. We will tell you about material changes by email or in the app before they take effect. If you keep using Scanissimo after a change takes effect, you accept the updated Terms.

16. Governing law

These Terms and any dispute arising from them are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If you are a consumer, you keep any protection given by the mandatory laws of the country where you live.
